Approving Video Captions in Verbit 

 

  • Navigate to users.verbit.co 
  • If it is your first-time logging into Verbit (it is not SSO), you may need to create an account. If you have forgotten your password, there is a forgot password option at log in. 
  • After logging in you are taken to the My files page, which shows three tabs: Transcription Jobs, Pending my Approval, Pending Approval.

  • Transcription Jobs (1): This is the comprehensive list of recent jobs. Videos will have one of three statuses: 
  • Downloaded or Finished: This is a captioned video. 
  • Work in progress: Videos that are currently in the captioning process. 
  • Pending Approval: Videos that are requiring approval for captioning. 
  • Pending My Approval (2): If there is a number after the words Pending My Approvalclick on this tab to approve videos. 
  • Confirm that the videos are online courses. Check Canvas if necessary. 
  • If a video is submitted that belongs to a face-face course, send the following email at the bottom of this article to the video owner. 
  • Once the owner replies: 
  • If the video meets captioning guidelines, approve the video. 
  • Captioned F2F course videos are being tracked in this document. Fill in the requested information before or after approving in Verbit. 
  • If the video does not meet captioning guidelines, go to the Transcription Jobs tab. Click on the red “X” on the far right of the desired video. Click “Yes, delete this job.” 
  • Confirm that the video titles are correctly named. The video should be titled accordingly:  
  • The course abbreviation and course number as a prefix in the title. (EX: PHAR 5555 Video Title). Preferably no periods, hyphens, underscores, or slashes. As it will take time for individuals to become used to the “no periods, hyphens, …", I am more concerned about the title words. 
  • Directions for incorrectly titled videos are provided below.  
  • Click the check box next to filename for videos that meet captioning criteria 
  • On the right you will see a small pop-up with “Approve” or “Decline.” Always click Approve.” We do not use “Decline.” The reason we do not use “Decline” is that it keeps the video in the queue. The next steps will discuss how to handle videos that do not meet the video title requirements.

  • Pending Approval (3): This tab is not used. 
  • Videos that do not meet the captioning criteria OR are not titled correctly: 
  • Go to the Transcription Jobs tab. 
    • The videos that you have not approved will still say “Pending Approval. 
    • At the far right of the video is a red “x.” 
    • Click the “x” and then “Yes, delete video.” 
    • This removes the video from Verbit. 
  • Additional Notes: 
  • Verbit is for online class use only. The exception are videos that are required in a face-to-face course (the recorded classroom lecture would not quality). Video captioning related to a documented accommodation request is sent to DAI directly from the Office of Disability Access. 
  • On occasion videos will come through Verbit not titled correctly. Once the owner is notified, it is occasionally discovered that the video is continuing education (CE) and should be routed through the secondary Verbit account (Cielo is no longer used)Delete the video from Verbit and resubmit to the secondary Verbit account. 
  • Sometimes an instructor uses the same introductory video in all their classes. In this case instead of 4 letters and 4 numbers as a prefix to the title, just the four letters of the instructor’s school (i.e. BMSC) can be used before the title (it is recommended that the instructor’s name be included in the title to prevent potential duplicates, for example BMSC Faculty Introduction Mora).

    Captioning is provided for online course videos. Face to face course videos are captioned only when the video is a required video (not a video provided as review).

    Request title correction 

     

    We have received your request for video captioning. Before we can approve the captioning request, the video titles need to be changed.

     We request that each video be uploaded with the course abbreviation and course number as a prefix in the title. (EX: PHAR 5555 Video Title). Do not use hyphens, periods, underscore, dashes, or slashes. This provides organization in the video library and ensures every video has a unique title.  


     Please make these changes within the next 48 hours, reply to this email and the videos will be approved.
